Create efficient workflows with PIM

Product Information Management (PIM) is fundamentally about unlocking the potential of your product data.

But it’s not enough to simply “have a PIM system.” Investing in the system without spending anything on optimizing your workflows is like buying a Ferrari without having a driver’s license.

Much of the value that PIM implementations deliver is directly linked to streamlining and “cleaning up” your work processes. PIM systems all come with features like checkpoints, triggers, notifications, and more, making it easy for you to work purposefully and error-free with your product data.

In PIM, "processes" refer to the actions associated with managing a product—from its creation, to updating an existing product, to publishing, and eventually removing it.

Step 1: Map all tasks in the PIM workflow

The first step is to map out what needs to be done to get all your products launched — in other words, to take them from development to delivery.

It is important that everyone knows their role and which specific data they are responsible for. For example, are they responsible for providing technical specifications, or do they handle the marketing text that sells the product?

Identifying these processes is critical to defining which aspects of the product different employees need to update. It also provides an overview of which product information should be sent to the respective channels, and, importantly, who is responsible for each part of the process.

Step 2: Allocation of Responsibility in PIM Workflows

Once you have allocated responsibilities, it becomes much easier to assign permissions as well. This ensures that no incorrect data is accidentally published to your sales channels.

The first step is also the most significant. If you’ve done this work thoroughly, it becomes easier to define the various handovers in the workflow.

This mapping can be visualized using 'traffic lights' in systems like Perfion. The traffic lights clearly indicate where data is missing, giving users a good overview and helping ensure that all data is complete.
